Job Title: Native American Inquiry Office Assistant 3 (OA3)
Location: Mt. Vernon. WA | Flexible/Hybrid. The Office Assistant will have a hybrid schedule that combines mostly in-office work, with some remote work.

We are searching for a strategic, organized professional to join our Administrative Services team in our Mount Vernon location as an Office Assistant 3 to join us in our mission to protect children and strengthen families, so they flourish.

The Opportunity:

The Relative and Tribal Supports programs advance the agency’s mission to protect children and strengthen families so they can flourish. The Native American Inquiry and ICW Legal units are essential to ensuring compliance with both the federal Indian Child Welfare Act (ICWA) and the Washington State Indian Child Welfare Act (WICWA), which are designed to protect the best interests of Indian children and preserve the rights of their tribes.

These units actively support tribal sovereignty and promote cultural continuity for Indian children involved in Child Welfare Field Operations by ensuring timely inquiry and legal notification to tribes. This position provides specialized administrative and program support to a centralized team of Social Service Specialists and Supervisors within the ICW Legal and Native American Inquiry units.


Some of what you will get to do:
  • Processing incoming mail
    • Retrieve, sort and date stamp USPS and fax correspondence
    • Retrieve electronic responses received from DCYF Imaging and our online portal
    • Analyze responses received
  • Sorting and saving bulk scanned responses
    • Separate each tribal response individual PDFs per child using Adobe Pro
    • Save program specific responses individually
  • Outgoing tribal notification
    • Prints Tribal Inquiry letters and Family Ancestry Charts
    • Manually prepares mail and processes USPS postage
  • Records management
    • Identify and analyze manual, electronic and/or automated records systems problems, and propose solutions to meet program and system requirements
    • Monitor changes to ICWA Designed Agents per tribal request and/or updates to Bureau of Indian Affairs federal registry, (forwarding to RTS leadership for publication FamLink and Outlook)
    • Uploads all ICWA confirmed tribal responses to ICWA Notice as “ICW Legal” in FamLink
What we are looking for:
  • Two (2) years of increasingly responsible office experience requiring keyboarding or typing.

OR

  • Equivalent combination of education and experience totaling two (2) years.

AND
  • The ability to take action to learn and grow.
  • The ability to take action to meet the needs of others.

In addition to those required qualifications, our ideal applicant will also have some or all of the following:
  • Demonstrated time management and organizational skills.
  • Demonstrated ability to use and maintain professional telephone etiquette.
  • Previously demonstrated experience organizing and scheduling meetings.
  • Demonstrated ability to compose letters and develop forms.
  • Demonstrated ability to provide external and internal customer service.
