DSHS ESA Forms & Records Analyst 3 - Lead
Economic Services Administration, Community Service Division has an exciting in office position as a Forms & Records Analyst 3 within the HUB Imaging Unit (HIU) located in Yakima, WA.
You will be responsible for training, auditing and assigning workload of Forms & Records Analyst 1s and involve the duties in the use of ACES, Barcode, Kodak Capture, I-Linx Imaging and Microsoft Office systems and programs.
Some of what you’ll do:
- Leads team of Forms & Records Analyst (FRA)1 who perform highly skilled and specialized processes to sort, image and index all client and provider forms and documents into the client Electronic Case Record (ECR) for the entire CSD statewide
- Conduct audits, provides on-the-job training and identifies training needs for staff performing sorting/imaging/indexing duties
- Coordinates the daily schedule to ensure that HIU timeliness deadlines are consistently met
- As a knowledge expert on HIU operations, Quality Assurance, Imaging software, Barcode Document Management (DMS) and automated systems use, disseminates information to staff and coordinates workload assignments to ensure adherence to agency timeframes
- Analyzes and tests current HIU processes related to form and document imaging, along with email import to determine feasibility and/or benefits of the reduction of paper forms and documents received within the HIU while providing electronic solutions related to imaging
- Assures FRA1 staff are properly conducting records retention duties by conducting weekly record inventories
- Assists with and coordinates records retention, migration, transfer and disposition of forms and documents that have been received and imaged, using both manual and electronic systems and provides consultation on Records Management System (RMS) requirement
- Organizes and facilitates weekly huddle meetings
- Other duties as assigned
What we’re looking for:
Experience (6 months or more) in the CSCC-HIU as an Office Assistant 3 and/or Forms & Records Analyst 1.
Must be able to communicate and comprehend in English (through oral and written forms of communication) with management, clients and the public.
Who should Apply
- Bachelor’s degree AND two years of experience in forms and/or records management

- High school diploma or equivalent AND six years of experience in forms and/or records management
